Basics

Openin​g a TermBase

Logging into ONTERM will give you access to two databases: Names/Appellations and GeoNames/Toponymes. “Names/Appellations” is the Official Names Ontario database, and “GeoN​ames/Toponymes” is the GeoNames Ontario database.

Choose the database you want to consult from the Select TermBase list.

Selecting a TermBase

Choose the database you want to consult from the Select TermBase list at the top-left part of the screen.

The ONTERM functions menu is at the top of the screen. From this menu, you can switch between TermBases, print records and change the interface language.

On the left-hand side of the screen, you will see a Menu pane with the functions: TermBase Languages and Filter. From this menu, you can choose the source and target language and create filters.

To the right of the Menu pane is the Records pane which displays all the names in the selected TermBase. The Search function is accessible at the top of the Records pane.

To the right of the Records pane is the Details pane. This is where the record details are displayed when a name is selected.

Changing the Interface Language

You can pick your preferred interface language using the Interface dropdown list on the top right-hand corner of the screen. The available interface languages are English and French.

Selecting Source and Target Languages

To change the source or target language, use the Source Language and Target Language dropdown lists. Note that the search function only searches names in the source language.

Printing

To print a record:

  1. Select the desired record from the Records list.
  2. Click the Print button on the ONTERM functions menu at the top of the screen.

Searching

Search by Name

Type the expression in the Search box at the top of the Records pane and press Enter. All names containing this expression will be displayed.

For example, searching for "financ" will return all names containing the word "finance", "financial", etc.

To clear the search, click the Clear icon Clear Icon next to the Search box.

Notes:

  • The Search function only searches names in the source language.
  • French accented characters and the cedilla are transparent. You will get the same results whether you type them or not.
  • Spaces, special characters such as @ and punctuation (e.g., commas, dashes, colons, quotation marks) are not transparent.

Search with the Wildcard *

You can use the asterisk (*) to replace one or more characters, a word or a space.

Examples:

  • searching for lab*r in English will return all entries containing "laboratory", "laboratories", "labour", etc.
  • searching health*care will return all entries with "healthcare" or "health care" in the name.
  • searching chef d* bureau in French will return a series of entries containing "chef de bureau" and "chef du bureau".
  • searching for *Black*Bay* will return "Big Black Bay", "Black Bass Bay", "Black Bay", "Black Bay Bog Conservation Reserve", etc.

Search by Record Number

Type the record number in the Search box at the top of the Records pane and press Enter. The matching record will be displayed in the Details pane.

Filters

Creating Filters

  1. Click Filter Manager in the Menu pane on the left-hand side of the screen or the Filter button on the ONTERM functions menu at the top of the screen.
  2. Click the Add Filter button.
  3. In the Description field, type a name for the filter.
  4. Click the Add button.
  5. In the dropdown list, select the field on which you wish to filter. For example, if you’re looking for all records affiliated with a particular ministry, select “Record : Ministry”.
  6. In the dropdown list that appears to the right, select an option for the filter. For example, to find all records affiliated with a particular ministry, select “Equal to”.
  7. In the dropdown list that appears next, select a value. For example, to find all records affiliated with the Ministry of the Attorney General, select “Attorney General – MAG”.
  8. If you wish to make a more complex filter, click the second Add button, choose either “AND” or “OR” and follow steps 5-7 above.
  9. Click the Save button to save and enable the filter.

Notes:

  • After a filter is created, it is automatically enabled. The heading of the Records pane will show “FILTERED” and a filter icon (filter icon) will appear to the right of the Search box.
  • Filters can only be saved for your current browser session.
  • Filters apply only to the active TermBase.

Enabling/Disabling Filters

You can choose to enable or disable one or more filters at a time.

Enabling Filters

  1. Click Filter Manager in the Menu pane on the left-hand side of the screen or the Filter button on the ONTERM functions menu at the top of the screen.
  2. Click anywhere on the filter you wish to enable and then click the Enable button at the top of the pane. Repeat steps 1 and 2 for each additional filter you wish to enable.

Disabling Filters

  1. Click Filter Manager in the Menu pane on the left-hand side of the screen or the Filter button on the ONTERM functions menu at the top of the screen.
  2. Any filters that are active will display Enabled in the Status column. Click anywhere on the filter you wish to disable and then click the Disable button at the top of the pane. Repeat steps 1 and 2 for each additional filter you wish to disable.
  3. To disable all filters at once, click Disable All Filters on the Menu pane.

Notes:

  • After a filter is created, it is automatically enabled.
  • When you close your browser, all filters will be automatically deleted.

Editing Filters

  1. Click Filter Manager in the Menu pane on the left-hand side of the screen or the Filter button on the ONTERM functions menu at the top of the screen.
  2. Click anywhere on the filter you wish to edit and then click the Edit button at the top of the pane.
  3. When you are done editing, click the Save button.

Note:

  • Filters will be automatically deleted when you close your browser.

Deleting Filters

  1. Click Filter Manager in the Menu pane on the left-hand side of the screen or the Filter button on the ONTERM functions menu at the top of the screen.
  2. Click anywhere on the filter you wish to delete and then click the Delete button at the top of the pane.
  3. You will be prompted, “Are you sure you want to delete this filter?” Click Yes, and the filter will be deleted.

Note:

  • Filters will be automatically deleted when you close your browser.​
